What to put in the summary
Name who you support (an executive, a team, a department), the scale (calendars, travel, budget) and the tools. Highlight discretion and how you improve processes. Executive roles want to see judgment, so include one example.
Administrative assistant supporting a COO and a leadership team of six at a 400-person company. Manages calendars, travel and board materials, and is trusted with confidential information. Recently moved expense approvals from email to a tracked workflow.
Sample bullets with numbers
Quantify scale (people supported, meetings, budget) and one process you improved. Both show you think beyond tasks.
- Managed the calendar and travel for a COO and five directors, coordinating about 25 meetings a week across three time zones.
- Prepared board materials for eight meetings a year, assembling 80-page packs on schedule with no version errors.
- Moved expense approvals from email threads to a tracked form, reducing average approval time from 6 days to 2.
- Organised a 150-person off-site, staying $4,000 under the $60,000 budget.
- Maintained records for 220 vendor contracts and flagged 14 renewals ahead of notice dates.
- Trained two new administrators on calendar and expense procedures.
These numbers are invented to show the shape of a good bullet. Use your own, and leave a number out rather than guess.

Administrative Assistant resume questions
How do I show I am more than a task-doer?
Include a process you changed and its result, such as faster approvals or fewer errors. Initiative is what moves an assistant to a senior role.
Do I need certifications?
Not usually. A Microsoft Office Specialist or a project coordination course can help if you have little experience, but results matter more.
